Job Description


The Vocational and Practical Nursing Administrative Assistant is responsible for supporting the Director of Nursing Education and the nursing department in the organization and management of the nursing program.  Duties include completing activities to ensure management of various records reports, and participation in student events.  This individual must be capable of working efficiently and effectively as a team member.  The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position.  The ideal candidate for this position is resourceful, a good problem solver and organized.  Assuring timely completion of a constant workload is key to success in this position.  All Concorde associates are required to display professionalism and uphold Concorde’s Mission and the core values of respect for the individual, integrity, teamwork, customer service, and achievement.


Administrative Duties

  • Manage department records to include creation and maintenance of schedules and calendars
  • Assist in the collection and reporting of data to outside agencies
  • Schedule and attend all required meetings to assist with organization and minutes development
  • Assist with planning, coordination, and management of the pinning ceremony as needed
  • Prepare and disseminate announcements to students and faculty regarding scheduling and other information
  • Order and maintain inventory of supplies for the department
  • Other duties as assigned by the Director of Nursing

Records Management

  • Create and/or maintain a filing system designed to organize student and faculty records used for clinical sites, clinical requirement needs (i.e. current vaccination records), accreditors, and other department functions
  • Create and/or manage physical and/or electronic information systems to ensue security, accuracy, and efficiency
  • Complete and manage all databases regarding graduate licensure testing and dates of completion
  • Assist with the development and distribution of student schedules by the term
  • Assist in securing documentation for student files to include: CPR cards, vaccination records, clinical documentation specific to sites, medical return documents, etc.
  • Documentation of all visits to clinical sites



  • High school diploma or equivalent is required with a minimum of one year of experience within the field of administrative assistance
  • The ideal candidate must have excellent verbal and written communication skills
  • Possess skills in current digital techniques and be proficient in the use of Microsoft® office suite programs (Word, Excel, Power Point, etc.)
  • Records management, office administrative procedures, and knowledge of use and operation of standard office equipment
